How to Set Up Contact Email Logging Rules in HubSpot (Automatically Log More Email Conversations)

HubSpot’s contact email logging rules give you more control over how emails are captured in your CRM and ensure fewer important conversations slip through the cracks. At Orbit Works, we help clients configure HubSpot in smarter ways like this to keep communication data clean, accurate, and automated.

Why Email Logging Rules Matter in HubSpot

By default, HubSpot only logs emails that are replies to emails already sent from HubSpot or with tracking/logging enabled. That means you might miss valuable interactions if:

  • A contact replies to a sequence but the email isn’t automatically logged

  • You send an email from your mobile phone without the BCC address

  • You forget to manually click “Log” in your email client

Previously, the only workaround was to forward those emails or use the retroactive log button both requiring extra steps. The new contact email logging rules eliminate that friction and automate the process.

How to Enable Contact Email Logging Rules

  1. Go to Your HubSpot Settings Navigate to: Settings > Objects > Activities > Email Log & Track

  2. Find the “Contact Email Logging Rules” Section This is a new setting where you can choose how emails between users and contacts are handled.

  3. Change the Default Behavior By default, HubSpot is set to “Log replies only.” To improve coverage, switch to “Log all emails.” This setting will log:

    • All emails sent by users (with connected personal email accounts) to existing contacts

    • All replies from contacts to users

  4. What It Won’t Log Emails sent to non-contacts won’t be logged unless you use a sales extension or add the BCC address manually.

How Email Attribution Works

When emails from contacts are logged automatically, HubSpot attributes them based on who the recipient is:

  • If there’s only one user recipient, the email is attributed to that user

  • If there are multiple recipients but only one matches a HubSpot user, it’s still attributed to that user

  • If there are multiple users, the email is attributed to the contact owner

If you’re unsure how attribution might impact your reporting or workflows, Orbit Works can help assess and configure this for accuracy.

Who Can Use This?

This feature is available across all HubSpot hubs and tiers, so any admin can take advantage of it with the right permissions and email connections.
